Bilingual Communications Assistant

Salary Range: $40,056 - $60,084

 

The Ontario Arts Council (OAC) requires a highly efficient person to provide administrative and support services to the Communications department. This position would be interesting to an individual with communications training wanting to gain direct experience in communications. 

 

Key Responsibilities:

  • Maintain central filing systems and inventory of corporate publications, and update and monitor department’s calendar;
  • Media monitoring and electronic compilation and distribution of news clippings;
  • Prepare media and special event kits;  
  • Responsible for the administration of Communication’s financial procedures by preparing, processing and monitoring purchase requisitions, purchase orders, contracts and invoices, ensuring proper sign-off for receipt of goods, services and payments; track all corresponding financial details into Excel budget worksheets;
  • Responsible for organizing and implementing contact distribution plans for both hardcopy and electronic mailings; research, update, and maintain corporate contact lists; extract and clean distribution lists; perform mail merges and prepare hardcopy letters and envelopes for distribution; upload distribution lists and assist with electronic distribution;
  • Provide event coordination support;
  • Upload final content to website; create initial drafts of email blasts and e-newsletter articles;
  • Assist in the execution of social media campaigns and activities;
  • Write, edit and proofread, as requested;
  • Work occasional overtime.

 

Key Selection Criteria/Qualifications:

  • Knowledge of communications gained through a degree, certificate or diploma in Communications and/or other relevant field of study;
  • Significant related and proven administrative experience with strong organizing and coordinating skills, attention to detail and a thorough knowledge of office procedures;
  • Experience tracking and monitoring budgets and expenses;
  • Experience supporting social media profiles such as Facebook and Twitter for professional purposes;
  • Experience working in or providing support in the following areas is a definite asset: event planning and coordination, production of print and other materials, media and government relations;
  • Intermediate to advanced proficiency with Microsoft Office suite and contact databases;
  • Basic HTML and experience uploading content on websites, using web editing tools, graphic design software and programs;
  • Above average writing, proofreading and editing skills in English;
  • Bilingualism in written and verbal French at the Advanced level;
  • Excellent interpersonal and communication skills, tact and discretion;
  • Ability to establish positive and effective working relationships internally and externally at all levels with individuals from diverse communities;
  • High degree of initiative, dependability and judgement;
  • Ability to work under pressure to meet tight deadlines, and be flexible to address and rearrange workload priorities;
  • General knowledge and appreciation of the arts is an asset.
