The Communications Officer is a hands-on generalist who combines writing, digital publishing, membership promotion, survey administration, event communications, and contractor coordination in one role. The position works closely with the Executive Director, alongside the team responsible for programs and administration, and supports the Communications Committee of the Board of Directors in advancing organizational priorities and ensuring consistent, high-quality communications.
Key Responsibilities
- Write, edit, proofread, and coordinate bilingual communications materials in English and French, including newsletters, website content, reports, press releases, member updates, speaking notes, presentations, and stakeholder correspondence.
- Own and manage the organization’s digital communications channels, with particular strength in LinkedIn, Zoom, YouTube, and other social media platforms as appropriate to audience and purpose.
- Develop and implement communications plans, campaigns, and content calendars that support organizational priorities, advocacy efforts, member engagement, and public visibility.
- Promote membership in Culture Works Canada through targeted campaigns, recruitment messaging, renewal communications, member spotlights, testimonials, and other initiatives designed to grow and retain the organization’s national membership base.
- Manage email communications and distribution lists for members, stakeholders, partners, and funders, using email marketing tools to support regular outreach and campaign delivery.
- Maintain and update the organization’s website to ensure content is current, accessible, well organized, bilingual, and aligned with brand and strategic priorities.
- Draft key messages, briefing notes, speaking points, and communications materials for the Executive Director to support meetings, presentations, external relations, and public-facing activities.
- Support the work of the Communications Committee of the Board of Directors by preparing meeting materials, contributing updates and briefing documents, tracking follow-up items, and implementing communications-related priorities in collaboration with the Executive Director.
- Work collaboratively with colleagues responsible for programs and administration to ensure communications are aligned with organizational activities, timelines, member services, and operational priorities.
- Liaise directly with members and sector stakeholders across Canada to gather stories, testimonials, examples, and case studies that demonstrate impact and support communications and membership goals.
- Serve as the primary staff liaison with external contractors for website development and maintenance, virtual event production, and graphic design, including preparing briefs, coordinating timelines, reviewing deliverables, and ensuring alignment with organizational expectations.
- Plan, coordinate, and promote all virtual events, including webinars, online information sessions, the virtual AGM, and national online gatherings, with responsibility for communications, registration support, speaker coordination, participant materials, and post-event follow-up.
- Lead the communications setup and delivery for virtual events using Zoom, including scheduling, registration workflows, speaker preparation, technical rehearsals, live event support, breakout room management, and basic troubleshooting.
- Upload, organize, and maintain video content on YouTube, including titles, descriptions, thumbnails, playlists, and related promotional content to extend the reach and usefulness of recorded events and organizational videos.
- Create, schedule, and monitor LinkedIn content to support professional engagement, sector leadership, event promotion, and membership development.
- Design, build, distribute, and manage online surveys using SurveyMonkey to gather feedback from members, event participants, stakeholders, and partners on programs, services, advocacy priorities, communications, and sector needs.
- Work with the Executive Director, the Communications Committee of the Board, and other internal stakeholders to identify survey objectives, draft effective questions, and ensure surveys generate useful, decision-oriented insights.
- Analyze survey responses and prepare summary findings, reports, and recommendations to inform membership engagement, communications planning, virtual event evaluation, and organizational decision-making.
- Ensure surveys and feedback tools reflect good practice in accessibility, plain language, privacy awareness, respondent experience, and mobile-friendly design.
- Design basic in-house visual materials for routine communications needs, such as social media graphics, digital invitations, slide decks, and simple promotional assets, while coordinating external design support for more complex projects.
- Monitor and report on communications performance, including website traffic, email performance, social media engagement, video performance, survey participation, virtual event participation, and membership-related metrics, and recommend adjustments based on results.
- Ensure consistency in organizational voice, brand, tone, accessibility, and quality across all communications channels, platforms, survey tools, and contractor deliverables.
Qualifications
- Essential: excellent writing, editing, and proofreading skills in English and French; bilingual fluency is essential for a national Canadian organization with broad member and stakeholder engagement needs.
- Essential: familiarity with the Canadian cultural sector, service organizations, granting bodies and membership-based organizations.
- Post-secondary degree or diploma in communications, marketing, public relations, arts administration, or a related field.
- Two to four years of relevant experience in communications, ideally in a nonprofit, membership-based, or granting organization.
- Strong hands-on skills with LinkedIn, Zoom, YouTube, and SurveyMonkey, including LinkedIn content strategy, Zoom-based virtual event delivery, YouTube content management, and SurveyMonkey survey design, distribution, analysis, and reporting.
- Experience managing website content through a content management system and using email marketing platforms, social media management tools, and basic design software such as Canva or Adobe Creative Suite.
- Ability to work independently in a small secretariat environment and manage multiple priorities with sound judgment, initiative, and attention to detail.
- Ability to work collaboratively as part of a small staff team supporting communications, programs, and administrative functions across the organization.
- Experience coordinating external contractors or vendors in areas such as website development, design, virtual event delivery, or digital production is a strong asset.
- Experience designing and administering surveys for member feedback, event evaluation, consultations, or stakeholder engagement is strongly preferred.
Working Relationships
The Communications Officer works closely with the Executive Director on strategic messaging, organizational priorities, member engagement, and external visibility. The role works alongside a small team responsible for programs and administration, supports the Communications Committee of the Board of Directors, and maintains collaborative working relationships with members, consultants, contractors, speakers, designers, and sector partners.
Working Context
This is a broad generalist role suited to a small national organization, where one staff member often oversees communications strategy, content creation, membership promotion, survey administration, digital channel management, and virtual event communications in an integrated way. Comparable Canadian association and nonprofit roles regularly combine these responsibilities while requiring close collaboration with leadership, program staff, and administrative colleagues in lean staffing models.
This position is mainly remote work. Business travel is reimbursed. Internet and phone stipends are provided during the employment period.
